Resources for Club Presidents

 

General Duties

·         Schedule and facilitate your regular club functions/events/meetings

·         Attend or arrange for club representative to be at Board/Club Presidents meetings every other month (odd months; 1 hour) and report back to your club members

·         Send out important reminders to club members as needed (e.g. when volunteers are requested for JRC events)

·         Collect club dues from members and verify that they are Joslyn members; keep running roster of your club membership

·         Keep rules/instructions updated and available your club members to see and use

·         Ensure your club participates in the annual grounds maintenance month assigned to the club (see Grounds Maintenance section below)

·         Check mailbox/slot for your club in the office at least monthly for written communications

·         Submit monthly newsletter updates to JRC office if applicable

 

By Month

·         January – Collect your club dues from members; verify monthly newsletter and display board have current information on the club (e.g. your name and phone contact); provide initial club roster to the Joslyn front office. Attend Board + Presidents meeting; send next month’s newsletter submission by the 15th. 

·         February – Forward annual contribution for your club to Joslyn Center if applicable (some clubs do this at other times of the year); send next month’s newsletter submission by the 15th.

·         March – Attend Board + Presidents meeting; send next month’s newsletter submission by the 15th.

·         April – Forward complete club roster to Joslyn front office; send next month’s newsletter submission by the 15th.

·         May – Attend Board + Presidents meeting; send next month’s newsletter submission by the 15th.

·         June – send next month’s newsletter submission by the 15th..

·         July – Attend Board + Presidents meeting; send next month’s newsletter submission by the 15th.

·         August – Nothing required; send next month’s newsletter submission by the 15th.

·         September – Attend Board + Presidents meeting; send next month’s newsletter submission by the 15th.

·         October – Nothing required; send next month’s newsletter submission by the 15th.

·         November – Attend JRC General Membership meeting; attend Board + Presidents meeting; send next month’s newsletter submission by the 15th.

·         December – Arrange for Hospitality Night cookie donation from the club; close books on club finances if applicable; inform JRC office of elected club officer changes if appropriate; send next month’s newsletter submission by the 15th.

·         See schedule below for your montharrange for club members to clean/care for the facility for the month (weekly visits/efforts during the month, one big session, etc.)

 

Optional/One Time/Ad Hoc

·         Purchase club supplies/materials with dues as needed/appropriate.

·         Coordinate assistance from your club with fundraising events such as the Strawberry Waffle Breakfast and Soup-er Bowl.

·         Make sure there is a successor president for next year if you won’t be doing it again.

·         Create/Modify/Enhance club web page if useful; send to Roland Soucie (rwsoucie@att.net) to publish on the Joslyn web site.

·         Collect dues from new members to the club and add to roster.

 

Monthly Grounds Maintenance Schedule 2016

 

The following grounds maintenance schedule should be followed once per month (more often if needed) with the exception of the cigarette cans which should be emptied weekly. All necessary tools (litter spike / pooper scooper / rake / brooms / debris bucket, etc.) are located in the small shed behind the gate on the east side of the building.

Guidelines for Monthly Grounds Maintenance:

The club responsible for the month’s maintenance should ensure that all of the following areas receive attention. The garden area inside the front wall does not need any work other than trash removal if necessary as this is being maintained by our resident horticulturist Judy Butler and the Mah Jongg group on an ongoing basis. Work on the front parking areas is best performed when clubs are not in attendance at the Center when fewer vehicles are in the parking areas.

 

Patio & Walkways:

·         Broom-sweep patio and entryway

·         Remove all litter and debris (paper, leaves, bottles, trash).

·         Dust / wipe down patio furniture

·         Empty outside trash can / replace plastic bin liner

·         Clear cobwebs on walls/lights especially around kitchen door area

 

Front Seating Area:

·         Empty trash / cigarette cans and remove all litter / trash

 

Frontage / parking area: (from JARC trash enclosure across to Library):

·         Sweep and remove surface dirt / grit / sand from pathway and parking stalls

·         Broom clean area inside trash enclosure

·         Remove weeds from along frontage / spray with weed killer if required

·         Remove all litter / trash

·         Remove all pet waste

 

All tools and brushes, etc. are kept in the shed on the east side of the building with access through the gate on the left hand side of the building.
